Field Assembly is published by Hemant Jindal, who is responsible for personal information handled by the publication. For privacy questions or requests, email hemantjindal890@gmail.com.

When you send us work

We receive the contact details, text, credits and links you choose to send. We use them to review your contribution, reply and, where agreed, arrange publication. Please do not include sensitive personal information or private details about other people without a valid reason and permission.

Reviewing correspondence and protecting the publication are our legitimate interests. Information needed to arrange an agreed contribution may also be used to take steps towards, or fulfil, that agreement. Where we rely on consent, you can withdraw it. Sending work does not subscribe you to marketing or transfer ownership of your work.

The form’s “Send submission” button sends your name, reply email and work details through Vercel and Resend to the editorial desk. It does not send an automatic receipt email to you. A reference on the page means the service accepted the message for delivery, not that it reached the editorial inbox or was reviewed. The site briefly uses your internet address to limit repeat automated sending. It turns the address into a one-way code; the address is not included in the email.

Upstash stores that code and a sending count for up to 15 minutes in its active store, not the raw address, your name, reply email or work. Its technical logs and backups follow its own policy. Resend stores message content and delivery logs in the United States. On its Free, Pro and Scale plans, it says email and log data is retained for 30 days while the account is active; backups last 7 days. This is separate from how long Field Assembly keeps the email in Gmail, described below. Resend’s data-processing terms describe safeguards for UK transfers. Vercel, Resend and Upstash may also process technical information needed to run and protect their services outside the UK. Resend says a small portion of sent messages may be processed by a provider it uses for trust and safety. See Resend’s current subprocessor list.

Saved information on your device

The detailed submission form keeps a working copy in the current tab through reloads. A browser may also restore that tab and its working copy. The separate device-saving choice keeps a copy for later visits. Dated tab and device copies are cleared when you return after 30 days without use. Older copies saved before the form recorded dates may still restore; review or clear them when you return. A restored device-saved draft is visibly marked. Uncheck device saving to remove that copy, or use Clear working copy to remove both kinds of saved copy. Clear your copy when you finish on a shared device.

Your colour choice is saved in this browser so it stays consistent between visits. Use the control below to forget it and follow your device’s theme. If you choose a theme again, the new choice will be remembered. An analytics opt-out, if you choose it below, is also saved in this browser.

Inputs in the Field Kit, Food Space Planner and Take a Seat are handled in the page and are not sent to us. Creating or printing a sheet does not send its contents to us. Your browser’s site settings can remove other saved information too, so keep a copy of any draft you want to retain.

Visiting the website

Vercel hosts the website and may process request information such as IP address, browser details, requested pages and technical logs to deliver and protect it. The site does not sell submission details or run advertising trackers. The places map links locations to published work. A separate readership map publishes dated country-level visitor and page-view totals from Vercel Web Analytics, not individual locations or identities.

We use Vercel Web Analytics to see aggregate page views, referring sites, approximate visitor location and device or browser type. It does not use tracking cookies. If you use site search, the words you type appear in the page address and reach Vercel with that request. Our separate analytics code removes search terms and URL fragments from page-view addresses before sending a page-view record; it does not send form answers or submission text. We use these figures to understand how people find and use the publication.

You can stop future page-view analytics in this browser at any time. The choice stays here until you resume it or clear this site’s stored data.

Embedded video uses YouTube’s privacy-enhanced player. Loading or playing it can share request information with Google. External sites and linked document hosts apply their own privacy notices.

Who can read submissions

Hemant Jindal manages the editorial inbox in his Gmail account. Some apps linked to his Google account have permission to read or send Gmail messages, including submissions. Editors and collaborators cannot browse the inbox.

If a specific contribution needs review or production help, Hemant may share that message with the relevant person. Submissions are not forwarded automatically.

How long we keep messages

We keep correspondence while a contribution is under review and during any continuing publication relationship. We review other correspondence for deletion when its purpose ends. Permission and credit records may be kept while the work is published and as needed to resolve rights or legal matters.

Google provides Gmail and may process correspondence outside the UK. Google describes its use of the UK Extension to the EU–US Data Privacy Framework and, where required, standard contractual clauses in its data-transfer information. Vercel may process website request information outside the UK; its data-processing terms include a UK international data-transfer addendum and standard contractual clauses for relevant transfers. Email us if you would like more information about the safeguards that apply to your data. We do not promise that correspondence or request information stays only in the UK.

Your choices and rights

You can ask to access, correct or delete your personal information or ask us to restrict its use. Portability and other rights apply where the law provides them. A request may need reasonable identity checks; some records may need to be retained to meet legal duties or resolve a rights claim.

Your right to object

You can object to our use of your information when we rely on legitimate interests. To do so, email the editorial desk. If you object, we will stop that use unless we can show compelling grounds to continue or need the information for legal claims.

You can also complain to the UK Information Commissioner’s Office. Material changes to this notice will be dated here.
